My scenario ------------------------ I'm a student at the technical university of vienna. In a course, where I had to learn how to create process models, I was introduced to the BPM-Software 'ADONIS'. After finishing my work for the lecture, I decided to use the free version from the ADONIS-Community in order to gain more experience with the topic of Business Process Modeling by deploying it as a case study in the company of my father. He's in the real estate business.
BPM Project ------------------------ First I had to give my father a quick introduction to BPM and its advantages and innovations you can achieve when making use of it. He was very open-minded and ensured me the support of all employees after informing them. The first step was to design the process map and a model for the working environment/structure. After that the heads of the different departments helped us to create BP-Models of daily processes. Meanwhile we also assigned process owners who maintain the models (extending attributes in order to perform simulations; keeping the models up-to-date; perform continuous improvements and maintenance).
The main goals that we achieved were enhancements in the term of cycle times, response times to customer requests and more efficient handling and forwarding of documents like contracts and certificates. All things considered, we calculated cost savings at about 20-25% for the next period and counting.
By the time BPM became an important part of the organization. We plan to contact the customer support of the BOC Group within the near future in order to get more information about licenses and professional use of the Toolkit ADONIS. An interesting application scenario would be the online up-to-date access to the models for all involved employees in order to make the processes perfectly clear and accessible for everyone. The feature of static HTML-Publication which is being used right now could therefore be extended. We are looking forward to get more information about such possibilities and additional components which are signalized as application scenarios of the ADONIS Process Portal on the BOC Group Homepage.
ADONIS Community ------------------------ The choice of using ADONIS:CE was based on the previous experience with the tool at the university on the one hand and the obvious great support within the discussion area on the other hand.
Tips & Tricks ------------------------ *) At first, just try to model the graphical image of your processes and fill in detailed information (attributes like working time, cycle times, responsibilities, ..) later on in a second or third inspection. It's easier to build up a basic overview and get in detail in later steps. *) Use the discussion area on the ADONIS:CE Homepage for problem work-arounds. It's very useful.
