BPM Contest submission - Malgorzata Rawska

My scenario:
I’m a Quality Manager at ITG SA, Polish IT company. As a member of PlugIT project team I took part at the some activities connected with business process modeling of my company - for one of plugIT tasks. It was very interesting and exciting time. I had to learn more about modeling processes and about my company. As a result of this modeling phase I realize that this kind of maps could be very useful for ISO purposes. Especially that this year we - as a whole company - have to recertify our ISO system and we need to remodel our business and business processes into direction of software house. So - quite good background for modeling business case!!!

BPM Project:

The first goal of project was to draw top level maps of new processes to clarify discussion on the processes. And next goal was to model all main business processes and to connect them with my ISO documents for HTML presentation purposes for ITG employees. We decided to make a pilot project with modeling of sales process. This was a good idea. The presentation of sales maps for top level management of ITG was a success. Our Board agreed to make models for ISO system in the same or similar way. Now I have a very busy time. Up to the end of April, 2010 I plan to publish all models together with ISO documents. All of them are going to be made in ADONIS CE tool. But after this we plan to buy commercial version of ADONIS CE - to allow more then one person to updates our models and to use more sophisticated features.

ADONIS Community:

My adventure with ADONIS Community started with plugIT project and was mainly connected with drawing maps using BPMN modeling language. But for purposes of my ISO project I choose BPMS models. They are more clear and easier to draw. We attend in some BOC presentations, as well as we participate in ADONIS on-line presentations. Now there are more than 10 persons, who help me to model our processes in ADONIS CE tool. At the beginning my idea was to deploy for ISO purposes one of BOC product - PROfit. But after some days of use trial version I prefer a tool with more possibilities of processes presentations, so till now I use ADONIS CE and I plan to buy the client-server version of product for more users.

My tips and lessons learned:

1. Start for ISO purposes (high-level maps) and - when they are clear and accepted - start to go on more details.

2. Use swimlanes as a tool for clarify process ownerships and employees responsibilities on visual form.

3. Maps are better than text of procedures. People prefer to use graphical than text presentation of processes.

4. Too much details on a map make them illegible. All details we “cache” in instructions and procedures.
